How HMOJo handles your information

A short note for tenants

Your landlord uses HMOJo to keep track of the safety certificates, licences and records they are legally required to hold for the property you live in. They have invited you to it, which is why you are reading this.

Who's who

Your landlord decides what information goes into HMOJo, why it is there, and how long it stays. In data protection terms they are the controller, and they are the person answerable for your information.

We are their supplier. HMOJo is operated by CJ Normandie Ltd. We store and process your information on your landlord's instructions and we do not use it for our own purposes. In data protection terms we are a processor.

If you want to know exactly why your landlord holds particular information about you, ask them — they should have their own privacy notice.

What's in there

Depending on what your landlord uses, this can include:

  • your name, email address and phone number
  • your room, tenancy dates and tenancy agreement
  • guarantor and emergency contact details
  • photographs and notes from the room inventory and check-in
  • maintenance issues you report

What we do with it

We store it securely, show it to your landlord and anyone they have authorised, send you the emails your landlord has set up — such as an invitation link or a maintenance update — and nothing else.

We do not:

  • hold your passport, visa, share code or any other identity or immigration document — if your landlord has checked these, they keep them elsewhere
  • sell your information, or share it with advertisers
  • send you marketing
  • use your information to train AI models
  • score, rank, assess or make any automated decision about you
  • handle rent, deposits or any payment from you

Where it's kept

In the UK and the European Economic Area. It is encrypted in transit and at rest, and each landlord's account is isolated from every other.

How long

Your landlord decides. If they close their HMOJo account, everything is deleted 90 days later.

Your rights

You have the right to ask for a copy of your information, to have mistakes corrected, to have it deleted in some circumstances, to object to how it is used, and to receive it in a portable format.

Ask your landlord first — they are the controller and they can act on most of this directly in the product. If you contact us instead, we will pass your request to them and let you know we have done so; we are not permitted to change or delete your landlord's records ourselves.

If you are not happy with how your information has been handled, you can complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113. You do not need permission from anyone to do that.
