Beta programme terms

These terms govern your participation in the HMOJo closed beta. They replace our standard Terms of service for the duration of the beta — where the two differ, these terms apply to you.
Please read them. Section 16 (Our liability to you) limits what we are responsible for, and section 6 (What HMOJo is and is not) explains what the product does and does not do. Section 13 explains what happens to your data when the beta ends.
1. Who we are
HMOJo is operated by CJ Normandie Ltd, a company registered in England and Wales under company number 16185973, whose registered office is at 1 Derwent Business Centre, Clarke Street, Derby, United Kingdom, DE1 2B.

We are not currently registered for VAT. The beta is free of charge in any event.
2. Who this is for
The HMOJo beta is invitation only and is offered to businesses.
By accepting these terms you confirm that:
(a) you are 18 or over;
(b) you are entering into this agreement in the course of a trade, business or profession — that is, you let or manage residential property for income, or you do so on behalf of someone who does — and not as a consumer;
(c) if you are accepting on behalf of a company, partnership, LLP or trust, you are authorised to bind it, and "you" means that organisation;
(d) the properties you will manage in HMOJo are in England.
If you are not acting in the course of a business, please tell us and do not create an account. We will offer you access when HMOJo leaves beta.
3. Accepting these terms
You accept by ticking the acceptance box when you create your account. We record the date, time and version accepted.
4. How long the beta runs
Your beta access runs for 90 days from the day you create your account, unless we extend it or end it earlier under section 14.
We will confirm the intended end date when we invite you. We may extend the beta, and will tell you if we do.
We will give you at least 30 days' notice before the beta ends.
5. What we provide during the beta
Access to HMOJo for the properties in your account, which during beta includes compliance date tracking and reminders, a document vault with AI-assisted reading, tenant invitation by link, room inventory and check-in records, an issue log, and Jo, our AI co-pilot.
Not included during the beta: storage of identity documents for Right to Rent purposes. HMOJo does not accept passport images, biometric residence permits, share codes or other immigration status evidence during the beta, and you must not upload them (see section 9). Keep those records in your own system, as you do now.
6. What HMOJo is — and what it is not
This is the most important section in these terms.
HMOJo flags. It does not certify. We surface what appears to be due, missing or expiring based on the information in your account. We do not confirm that you are compliant, and no output from HMOJo is evidence of compliance.
HMOJo does not:
- give legal advice, and nothing in the product or on our website is a legal opinion;
- apply for, obtain or renew any licence, or submit anything to a council on your behalf;
- inspect any property, or verify that any certificate is genuine, valid or correctly issued;
- carry out or verify Right to Rent checks — during the beta it plays no part in them at all;
- carry out, score or approve tenant referencing, credit checks or guarantor assessments;
- handle rent, deposits or any tenant money;
- monitor changes in law, licensing schemes or council requirements on your behalf.
You remain solely and fully responsible for your legal obligations as a landlord — licensing, safety certification, Right to Rent, deposit protection and property condition. Using HMOJo does not transfer any of that to us, and is not a defence to enforcement action.
7. What beta means in practice
You are using unfinished software. You should expect that:
- features will change, be added, or be withdrawn without notice;
- there will be bugs, errors and periods of downtime;
- performance may be inconsistent;
- data you enter may be lost, corrupted or reset;
- there is no service level agreement and no uptime commitment;
- support is best-efforts by email during UK business hours.
Do not use HMOJo as your only record of anything during the beta. Keep your existing records — certificates, licences, tenancy documents — wherever you keep them now. We ask you to treat HMOJo as a second copy, not the copy.
8. Reminders
Reminders are a convenience, not a guarantee. Email can be delayed, filtered, blocked or lost, and we depend on the accuracy of the dates you enter. Do not rely on HMOJo reminders as your only means of knowing when something is due. We are not responsible for a reminder that is not sent, not delivered, delivered late, or delivered to a spam folder.
9. Jo and AI features
AI output can be incomplete, out of date or wrong. Treat every AI response as something to check, never as an answer to act on.
- AI output is not legal, financial or professional advice.
- Verify anything material with the relevant authority or a qualified professional before acting.
- Do not use HMOJo's AI features to make a decision about a person, including any decision about whether to let to someone.
- We give no warranty as to the accuracy of AI output.
- Your data is not used to train any AI model — ours or a third party's.
10. Council and third-party data
Council fees, licensing scheme details and similar information come from publicly available sources. They change without notice and may be wrong or out of date at any moment. National averages shown where council data is unavailable are indicative only. Always confirm current requirements and fees directly with the relevant licensing authority before acting.
11. Your content and your account
You own everything you put into HMOJo. You grant us a non-exclusive licence to host, copy, transmit, display and process it solely to provide and support the service, and as set out in the Data Processing Addendum.
You confirm that you have the right to upload what you upload, that you have a lawful basis for entering other people's personal data, and that you have given those people the information they are entitled to receive.
You must not upload during the beta:
- passports, biometric residence permits, share codes, visas or any other immigration status or Right to Rent evidence;
- special category data — health, race, religion, sexual orientation, biometrics, trade union membership — or criminal offence data;
- anything unlawful, defamatory, infringing or malicious.
If you upload identity documents despite this, we may delete them without notice and without liability to you.
Keep your log-in details secure and do not share them. You may invite managers or VAs, and you are responsible for what they do in your account and for removing their access when they no longer need it. Tell us immediately at security@HMOJo.co.uk if you suspect unauthorised access.
12. Feedback and confidentiality
The beta is the point at which we find out what is wrong, so we would like to hear from you. If you give us feedback, ideas, bug reports or suggestions, you agree we may use them freely and without restriction, payment or obligation to you, including to develop and commercialise HMOJo. You waive any moral rights in them so far as you can.
The product you are seeing is unreleased. Please do not publish screenshots, feature details, performance observations or pricing information publicly, or share your access with anyone outside your organisation, without our written consent. Talking to us, and to other beta participants in any group we set up, is fine. This obligation ends when the relevant feature is publicly released.
We will not name you publicly as a beta participant, or use your logo or a quote from you, without your written consent.
13. What happens when the beta ends
At least 30 days before the beta ends we will write to you and ask you to choose one of two things.
Option A — continue. Your account and all your data carry over to the full HMOJo service. You will be asked to accept our standard Terms of service and to provide payment details. You will not be charged automatically and no charge will ever be taken without your express agreement to the new terms.
Option B — stop. We export your data to you in a usable format and then permanently delete it, along with your account, within 30 days.
If you do not respond, we will treat that as Option B. We will send you at least two reminders, retain your data for 90 days after the beta ends, and then delete it permanently. Your data will not be transferred into a paid account without your agreement.
You can export your data yourself at any time from account settings, and we would encourage you to do so before the end of the beta whichever option you choose.
14. Ending your participation earlier
You may leave the beta at any time from account settings, or by emailing us. Section 13 then applies as if the beta had ended.
We may end your participation, or the beta as a whole, on notice — or immediately if you breach section 11 or 12, create a security risk, or expose us to legal liability. We will tell you why and, where we reasonably can, give you a chance to put it right. Section 13 applies on any termination.
15. Transfer of this agreement
HMOJo is being developed with the intention that it will be operated by a newly incorporated company.
You agree that we may transfer, assign or novate this agreement — and the Data Processing Addendum with it — to that company, to a group company, or to a successor to our business, on written notice to you, provided your rights under this agreement are not reduced and the transferee is bound by data protection obligations at least as protective as ours. Your data transfers with the agreement.
We will tell you before it happens and identify the new operator. If you would rather not continue with the new operator, you may leave under section 14 and section 13 applies.
You may not assign or transfer this agreement without our written consent.
16. Our liability to you
16.1 Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.
16.2 These terms are offered to businesses only. Subject to 16.1, we exclude all implied terms, warranties, conditions and representations to the fullest extent permitted by law. HMOJo is provided during the beta on an "as is" basis, free of charge, and without warranty of any kind.
16.3 Subject to 16.1, we are not liable, whether in contract, tort (including negligence), breach of statutory duty or otherwise, for:
(a) loss of profit, business, revenue, anticipated savings or goodwill;
(b) loss or corruption of data, beyond restoring from our most recent backup;
(c) any indirect or consequential loss.
16.4 Subject to 16.1, we are specifically not liable for: any fine, civil penalty or prosecution cost imposed on you by any authority; any rent repayment order; any banning order, or refusal, revocation or variation of a licence; any loss of rent; any claim brought against you by a tenant, applicant, guarantor or contractor; or any liability arising from your failure to meet a legal obligation as a landlord. Compliance is your responsibility. HMOJo is a tracking tool, not a compliance guarantee.
16.5 Subject to 16.1, our total liability arising out of or in connection with this agreement is limited to £1,000.
16.6 We are not liable for the acts or omissions of anyone you invite into your account.
17. Your responsibility to us
You will indemnify us against any claim, loss or cost arising from your content, your breach of section 11 or 12, or your failure to comply with data protection law in respect of data you put into HMOJo.
18. Our intellectual property
We own HMOJo — the software, brand, design, content and compiled council data. You get a limited, non-exclusive, non-transferable, revocable licence to use it during the beta for managing your own or your clients' properties. Nothing else transfers to you. You must not copy, modify, reverse-engineer, decompile, scrape or create derivative works from the service, or resell it or provide it as a service to third parties.
19. Data protection
Our roles are set out in the Data Processing Addendum, which forms part of this agreement. How we handle your own personal data is in our Privacy notice. What we tell your tenants is in the Tenant privacy notice — this helps you, but it does not replace your own privacy notice to your tenants.
20. Changes to these terms
We may change these terms during the beta on at least 14 days' notice by email. If you do not accept a change, you may leave under section 14. Continuing to use HMOJo after the change takes effect means you accept it.
21. General
Force majeure. Neither of us is liable for failure to perform caused by events beyond reasonable control, including failures of internet, hosting or third-party infrastructure providers.
Entire agreement. This agreement, the Data Processing Addendum and the Privacy notice are the whole agreement between us and replace anything said or written beforehand. Neither of us relies on any statement not set out in them. This does not limit liability for fraudulent misrepresentation.
No third-party rights. Nobody other than you and us may enforce these terms under the Contracts (Rights of Third Parties) Act 1999, save that any transferee under section 15 may enforce them.
Severability and waiver. If any provision is unenforceable, the rest continues. Not enforcing a right does not waive it.

22. Complaints, law and jurisdiction
Please email hello@HMOJo.co.uk first. We will acknowledge within 5 working days.
This agreement is governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
